Case: ComCenter
Synopsis: To find out the importance of
organization i.e. organizational hierarchy and the assignment of duties and
giving proper authority as per the duties.
Case
Facts: Three retired managers
saw the opportunity of a community services firm in the outskirts of Kathmandu
valley. They start the firm and hire employees under different groups
pertaining to different background. The partners decided to take up the
managerial roles as per need and availability. Initially, the business was
going great, but as time passed, problems started to arise relating to who
reports to whom, duplication and gap of works. Even the managers had conflict
in decision-making. These led to confusions, and eventually fall of business.
Analysis: System and human resources are the
major part of an organization along with others. Human resource at ComCentre is
excellent. The employees belong to the same background as their duties require
them. Similarly, the partners, collective manager, are also retired managers
and have experience of 20 years of management.
However,
the organizational structure does not seem to be well defined. Although the
employees have been hired, they do not have specific roles in terms of their
duties and responsibilities. Similarly, the control mechanism established by
‘who reports to whom’ also does not seem to exist. Furthermore, at the very top
level, the managers have conflict on various decisions so the whole
organization seems to be going nowhere. The only thing that is good in this
stage is the division of teams into six types.
Recommendations:
As acclaimed by one of the
managers, the organization already has ‘teams with enough capacity and
dedication’, so the partners need to use this to the good of organization by using
it properly. For this, the partners need to define among themselves their roles
and authorities. This will guide the organization somewhere. Or, they can take
the charge on rotational basis, and the other two can work under him.
Furthermore, they need to decide regarding the roles and duties of the
employees as well. They need to make sure that enough of authority is given
with the responsibility and the ‘who reports to whom’ structure is defined in
order to ensure that the employees are working.
In this way, if the managers prepare organizational chart with
defined roles and duties of each position and make sure ‘who reports to whom’
structure is available and use their specialized employees, the ComCentre can
move ahead.
